How do we handle your data?

Your privacy is important to us. That's why we handle your personal data carefully and protect it as well as we can. In this privacy statement you can read which personal data we use, why we do so, with whom we share data, how long we retain it and what rights you have.

This privacy statement is intended for visitors, customers, ticket buyers, account holders, newsletter recipients, participants in public and educational activities, donors, business relations, press, job applicants and other private visitors of the Stadsschouwburg Amsterdam.

Who are we?

Internationaal Theater Amsterdam – hereinafter: ITA – creates and presents theatre and other cultural programs. In doing so, we process personal data, for example when you buy a ticket, create an account, sign up for ITA email, donate, participate in an activity or visit one of our venues.

What is personal data?

Personal data is data that relates directly to you or that can be traced back to you. Examples include your name, email address, home address, phone number, date of birth and data about the performances you have attended.

Data that we link to you or derive from other data can also be personal data. Think of a prediction about which performances might be of interest to you. 

Who is responsible for the processing of your personal data?

Stichting Internationaal Theater Amsterdam is responsible for the processing activities described in this privacy statement.

When do we collect your personal data?

1. Your visit to ITA.nl

On ita.nl you'll find information about our performances, activities and other programs. You can visit the website without directly providing your name or contact details to us.

We do process technical information about the use of the website. This can include, for example, your IP address, browser, device, pages visited and the way you use the website.

We use cookies and similar techniques to make the website function and to analyze its use.

Strictly necessary cookies can be placed without consent. For tracking cookies and other non-necessary techniques, we ask for consent in advance. You can always change your choice via the cookie settings. More information can be found in our separate cookie statement.

2 Buying tickets and creating an account

You can buy tickets online with or without an account. In both cases we need the data listed below to process your order. Only at the box office can you buy tickets fully anonymously. If you choose to do so, we cannot personally inform you about changes, cancellations or emergencies. We also cannot retrieve lost tickets for you.

When buying a ticket online, we ask for:

• Title/salutation
• your first and last name;
• your email address;
• your country;
• your postal code;
• your house number;
• your street;
• your city.

You can also optionally provide your mobile phone number and date of birth.

We use your name and email address to process your order, send your ticket and inform you about your purchase or visit. We use your address details for our order administration, any delivery and audience analysis.

If you create an account, we use your data to manage the account and give you access to your orders and tickets.

We only use your phone number when necessary for your visit, for example in the event of an important change, cancellation, emergency or waiting list. 

3 Other ways we receive data

We usually receive personal data directly from you. Sometimes we receive data from a school, teacher, payment provider, theatre, festival, company or other partner. This can happen, for example, when someone registers you for an activity, processes a payment or when ITA handles ticket sales for another organization.

For business and press relations, we may also receive contact details from public professional sources, such as organizations' websites and public business profiles.

What other personal data do we process?

Depending on your contact with ITA, we may also process the following personal data:

• data about orders, tickets, performances and visits;
• account and login details;
• payment and refund details; 
• donation and membership details, including your donation history and correspondence about your donation;
• newsletter subscriptions, preferences and unsubscriptions;
• responses to surveys and evaluations;
• questions, complaints and other contact with our customer service;
• open and click behavior on emails, if you have given consent for this;
• data about website use and cookies;
• audience segments and predicted preferences;
• profiles from the Cultural Target Audience Model;
• data about accessibility needs
• data of teachers and school contacts, such as their name, position, email address, phone number, school address and the type of education in which they work;
• photo, video and camera footage.
• business and press data, such as your name, position, organization, business contact details, correspondence and information about your relationship with ITA;
• application data, such as your contact details, CV, motivation, education, work experience, correspondence and other information you provide with your application.
• preferences and data for receiving the ITA publication and other postal mailings;
• reviews, ratings and other feedback you provide to us, and your consent for any publication thereof;

What do we use your personal data for, and on what legal basis?

ITA only uses your personal data when there is a valid reason to do so. Below we explain what we use your data for and on what legal basis.

• Tickets, accounts and contact: We use your data to sell tickets, process payments, manage your account and answer questions about your order or visit. We may also send you necessary service messages, for example about your e-ticket, a change, cancellation, waiting list or emergency. We do this to perform our agreement with you. We retain some financial data because we are legally required to do so.
• Website and cookies: When you visit ita.nl, we process technical data to make the website function properly and securely, prevent misuse and improve the website. For this we rely on our legitimate interest in offering a safe and well-functioning website. For tracking cookies and other non-necessary techniques, we ask for consent in advance. You can always change your choice via the cookie settings. More information is in our cookie statement.
• Evaluations: After a performance, we may send you an evaluation email. We do this to improve our performances and services. For this we rely on our legitimate interest. You can object to these evaluation emails.
• Marketing emails If you give consent for our newsletters (such as ITA Email and ITA Newsletter) we send you news, offers and personal recommendations. We may tailor the content based on, for example, your previous visits, preferences, age category, area of residence, audience segment and your open and click behavior on previous emails. If we link website behavior to your email profile, we only do so when your consent choices for ITA email and cookies allow it. You can always withdraw your consent via the unsubscribe link under every email. After that we will no longer send you marketing emails and will no longer use your data for this purpose. We may retain your unsubscription to ensure you are not signed up again without consent.
• Mail and ITA publication: If you have signed up for the ITA publication, we use your name and address to send it to you. We do this based on your consent. We may also occasionally send existing customers carefully selected information by post that matches their previous visits. For this we rely on our legitimate interest in maintaining our relationship with visitors. You can always object to this.
• Audience analysis and profiling: We analyze data about purchases, visits, age category and area of residence to gain insight into our audience and improve our offerings and services. We may classify customers into audience segments for this purpose. We may also use postal code and house number to assign a presumed audience profile via the Cultural Target Audience Model. This is a statistical prediction based on your area of residence and not a definitive fact about you. For audience analysis and segmentation we rely on our legitimate interest in better understanding our audience and evaluating our cultural and public objectives. If we use a profile for personalized ITA email, your consent for ITA email is the basis. We do not use profiling to determine regular ticket prices or to deny you regular access to tickets. Only benefits associated with a specific membership can affect ticket availability. ITA does not make solely automated decisions that have significant consequences for you.
• Donations and memberships: If you donate or take out a membership, we use your data to process your donation or membership, handle payments and correspondence and deliver the agreed benefits. This may include invitations to activities associated with your donorship or membership. We do this to perform our agreement with you. We also process financial data insofar as necessary to comply with legal obligations.
• Reviews and ratings: We may use ratings or other feedback you have voluntarily given to improve our services. For this we rely on our legitimate interest in improving our services. If we publish your review in a recognizable way, for example with your name, photo or other identifying information, we ask for your consent. You can withdraw this consent at any time.
• Education and accessibility: For educational activities we use data from teachers and school contacts to organize registrations and activities and maintain contact with schools. Depending on the situation, we do this to perform an agreement or based on our legitimate interest in organizing our educational activities. 
• Accessibility support: If you need support or an accommodation, we use the information necessary for that purpose. We only process this when a legal exception applies, such as your explicit consent. With your explicit consent, we may retain accessibility data for a maximum of five years, so that you do not have to provide it again on a future visit.
• Photo, video and camera surveillance: During performances, premieres and other activities, photo and video recordings may be made. We may use atmospheric images for reporting, archiving and communication about ITA. For this we rely on our legitimate interest in making our activities visible. We inform visitors in advance when photos and/or recordings are being made and, where possible, take into account people who prefer not to be recognizably shown. For targeted portraits and interviews we ask for consent. We use camera surveillance to secure visitors, staff, locations and property and to prevent or investigate incidents. For this we rely on our legitimate interest in protecting people and property. Camera footage is only accessible to authorized persons and may be provided to the police or another competent authority in the event of an incident or legal obligation.
• Business contacts, press and job applicants: We use business contact details to carry out collaborations, maintain relationships, answer press inquiries and send relevant information or invitations. We do this to perform an agreement or based on our legitimate interest in maintaining our business and press relationships. You can always object to direct marketing. If you apply for a job at ITA, we use the data you provide to assess your application and carry out the application process. We do this to take steps at your request prior to a possible employment contract. If we want to retain your data longer for future vacancies, we will ask for your consent.
• Security and legal obligations: We may use personal data to prevent or investigate fraud, misuse and security incidents. For this we rely on our legitimate interest in protecting ITA and the individuals involved. In addition, we may process or provide data if necessary to comply with a legal obligation, court order or legally valid request from a competent authority. You can object via info@ita.nl to a processing based on a legitimate interest. If a processing is based on consent, you can withdraw that consent at any time.

How long do we retain your personal data?

We do not retain personal data longer than necessary for the purpose for which we use it, unless the law requires us to retain data longer. For personal data covered by this statement, a retention period of five years after your last interaction applies. Such an interaction can consist of, for example:

• a login in Tixly;
• a ticket purchase;
• a donation;

Financial data subject to the tax retention obligation is retained for seven years by our financial administration.

We retain data of press contacts, teachers and school contacts for as long as they are a contact person for the school or for as long as the data is necessary for our educational activities and maintaining the business and/or school relationship. We periodically check whether the data is still current and necessary and delete it when this is no longer the case.

We retain camera footage for 14 days. If an incident has been recorded on the footage, we only retain the relevant footage for longer, until it has been handed over to the police.

With whom do we share your personal data?

We only share personal data when necessary for the purposes described in this statement, when the law requires us to, or when you have given consent for this.

Depending on the service, personal data may be processed by:

• suppliers of ticketing, account and customer systems;
• email and communication providers for newsletters, evaluation emails, service messages and personalization;
• banks and payment service providers for payments and refunds;
• suppliers of online forms, websites and content management systems;
• suppliers for managing cookie preferences;
• hosting, security, analytics and other technical suppliers;
• photographers, videographers and producers;
• theatres, festivals, companies and other partners when ITA sells tickets for them or organizes an activity together with them;
• government agencies, regulators, police and other competent authorities when disclosure is necessary or legally required.
• printers, mailing houses and other suppliers that handle the ITA publication or postal mailings;

We enter into a data processing agreement with parties that process personal data solely on behalf of ITA.

When a partner independently determines why and how personal data is used, that partner may be independently responsible. In that case, that partner's privacy statement also applies.

Transfer outside the European Economic Area

Some suppliers may process personal data in countries outside the European Economic Area or make data accessible from such countries.

If a supplier processes personal data outside the EEA, we only do so if an adequacy decision applies for the relevant country or appropriate safeguards have been put in place, such as the European Commission's standard contractual clauses.

What do we do to secure your personal data?

We take appropriate technical and organizational measures to protect personal data against loss, unauthorized access, alteration and disclosure.

We limit access to personal data to employees and suppliers who need the data for their work. We also regularly assess whether our security measures are still adequate.

For security reasons, we do not disclose all details of our security measures.

Do you want to view, transfer, change or delete your personal data?

Depending on your situation, you have the right to:

• receive information about the use of your personal data;
• access your personal data;
• have incorrect or incomplete data corrected;
• have data deleted;
• have the use of your data temporarily restricted;
• receive data in a transferable format;
• object to a processing based on a legitimate interest;
• object to direct marketing and the profiling associated with it;
• withdraw your consent;
• in certain cases, not be subjected to a solely automated decision with significant consequences.

You can send a request to info@ita.nl. Please put "Privacy" in the subject line and describe as clearly as possible which right you wish to exercise.

We generally respond within one month. If we need more time, we will let you know within that first month.

To prevent us from providing personal data to the wrong person, we may verify your identity. We will not ask for more data than necessary and will choose a verification method appropriate to the risk of the request.

Sometimes we cannot or may not fully comply with a request, for example due to a legal retention obligation or the rights of someone else. In that case, we will explain why.

Objection and complaints

You can always object to the use of your personal data for direct marketing. We will then stop using your data for that purpose.

You also have the right to file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

Websites and platforms of others

This privacy statement applies to the services and website of ITA and the Stadsschouwburg Amsterdam. The statement does not automatically apply to websites, apps, ticket partners or social media platforms of other organizations to which we refer. We advise you to also read the privacy statement of such another organization.

Data Protection Officer

ITA has a Data Protection Officer. This officer independently oversees compliance with privacy regulations within ITA. You can contact the Data Protection Officer via info@ita.nl.

Changes

We may amend this privacy statement when our working methods, systems or the law change. The most recent version is always available on ita.nl. In the event of significant changes, we will inform you in an appropriate manner.
